The type of personal information we collect

We collect and process the following information:

  • Account details, such as your name, email address and account identifier
  • The text and images you add to books you create on our service
  • Information about books shared with collaborators and the permissions attached to that sharing, including the email addresses of people you invite
  • Billing and membership information, such as your selected plan, subscription status, renewal date and transaction identifiers
  • Technical and security information needed to operate and protect the service

We may also receive your email address from a Folius user who invites you to collaborate on a book. We use it to send and administer that invitation. Creating an account and accepting the invitation is your choice.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To create and secure your account, provide the editor, store your books, generate exports, and provide collaboration features you choose to use
  • To provide paid membership, maintain your access status, and respond to billing or support requests
  • To send important service, security and billing notices

Information received from other services

  • If you sign in with an identity provider such as Google, we receive the account information that provider makes available to Folius.
  • When you purchase or manage a membership, Polar provides the customer, subscription and transaction information needed to activate and administer your Folius access.

Payments through Polar

Polar Software, Inc. is the merchant of record and authorised reseller for Folius purchases. Polar processes checkout details, payment methods, billing addresses, tax information, invoices, receipts and refunds under its own privacy policy. Folius does not receive or store your full payment card details.

Who we share information with

We share personal information only as needed to provide, secure and administer Folius. This includes Polar for billing, identity providers you choose for sign-in, and infrastructure providers such as Hetzner and Amazon Web Services. We may also disclose information where required by law or necessary to protect the rights, safety and security of Folius or others.

Our legal bases for processing

Under the General Data Protection Regulation and other applicable data protection law, we rely on:

  • Performance of our contract with you, including providing your account, books, exports, collaboration and paid membership
  • Compliance with legal obligations, including financial, tax and lawful disclosure requirements
  • Our legitimate interests in securing, supporting and improving the service, where those interests are not overridden by your rights
  • Consent, where we specifically ask for it; you may withdraw that consent at any time

How we store your personal information

Your information is stored using service providers including Hetzner and Amazon Web Services. Those providers may process data outside your country. Where required, international transfers are protected using appropriate legal safeguards.

We keep account and book data while your account remains open. If you ask us to delete your account, we will delete or anonymise personal information unless we need to retain it for legal, security, dispute-resolution or accounting purposes. Polar retains payment information according to its own privacy policy and legal obligations.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organization, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
